Common problems

Do you need to keep email for years?

  • You need to keep emails for a set number of years
  • Important emails can be permanently deleted
  • Finding an old email means searching several mailboxes
  • Departed staff mailboxes are deleted or left on old computers
  • You've been asked for old emails and struggled to find them
How we fix it

How we set up email archiving

  1. Confirm what you need to keep

We ask how long email must be kept and who needs access. You set the retention period, based on your own obligations or advice.

  2. Set retention rules

Email is kept for the chosen period, even if someone deletes it.

  3. Set up the archive

A searchable archive for the people who need it.

  4. Keep leavers' mailboxes

Departed staff email is kept without paying for a full user licence, where your system allows.

  5. Test search

We confirm older email can be found and retrieved.

  6. Hand over

Notes on what's kept, for how long, and how to search it.

  2. We confirm the plan and scope

Before work starts, we confirm what's included, the order of work and any interruption to email.

  3. We complete the work

Onsite or remotely, scheduled to keep disruption to your business low.

Questions

Email archiving answered

How long should we keep emails?+

It depends on your industry and obligations. Your accountant or lawyer can advise, and we'll configure retention to match.

Is an archive the same as a backup?+

No. An archive keeps email long term and makes it searchable. A backup lets you restore data after a loss. Many businesses need both.

Does archiving need extra licences?+

Some archiving features need particular Microsoft 365 or Google Workspace plans. We'll tell you what's needed before setting anything up.

Can old PST files go into the archive?+

Yes. Older email stored in Outlook data files (PST files) can be imported into the archive. See PST import & export.
